We do not share it with contractors, insurers, or anyone else with a financial interest in your property decisions. We store it securely and you can ask us to delete it at any time.

Who we are.

Highground IQ is an independent property risk intelligence business owned and operated by Luis Reyes, based in Tampa, Florida. We serve property owners, HOA boards, and portfolio managers in the greater Tampa Bay area.

What information we collect.

Information you give us directly.

When you complete our risk-readiness checklist, book a consultation, or purchase a package, you provide us with your name, email address, phone number, property address, and any details about your property or project that you share in intake forms or on calls. We collect only what we need to serve you.

When you take the Property Risk Pulse assessment and ask for your full report, you give us your name, work email, role, and the name of your property or association. We keep your answers and the scores and recommendations calculated from them, together with the version of the consent wording you agreed to and when you agreed to it.

Information your device sends automatically.

When you visit our website, we use Google Analytics to collect information about your visit: which pages you viewed, how long you stayed, which buttons you clicked, what device and browser you used, and your approximate geographic location based on your IP address. Google Analytics uses cookies to recognize returning visitors. We use this to understand how the site is performing, not to identify you personally. You can block these cookies in your browser settings or install the Google Analytics opt-out browser add-on.

How you found us.

When you arrive on our site, your browser notes how you got here: the campaign labels in the link you followed (for example, which email or ad it came from), the website that referred you, and the first page you landed on. This stays in your browser for that visit only (it is not a cookie) and is sent to us only if you submit one of our forms, when we record it with your contact details.

HubSpot cookies.

We use HubSpot's tracking code, which sets cookies to recognize returning visitors and to record which pages they view. Once you submit a form or book a consultation, HubSpot connects those page views to your contact record, so we can see which topics brought you to us. You can block or delete these cookies in your browser settings at any time. Our forms and scheduling still work without them.

Information from scheduling and payment tools.

Consultations are booked through HubSpot's scheduling tool, which collects your name, email address, the time you choose, and anything you add, such as guests you invite. The scheduling tool may set its own cookies while you use it; you can block or delete them in your browser settings. When you pay for a package, our payment processor collects your payment details under its own privacy policy. We record what you bought, the amount charged, the date, and the property address, but we never see or store your payment card information.

What we do with your information.

We use your information for six purposes and nothing else.

To deliver the service you booked.

Your property address and intake details let us prepare for your inspection and produce your report. Your contact information lets us send you your deliverables and follow up on findings.

To communicate with you about your engagement.

We send confirmation emails, scheduling details, report delivery notifications, and follow-up communications related to your specific package.

To send you the checklist, its follow-up, and occasional marketing emails.

If you complete our risk-readiness checklist, you receive the checklist itself and one follow-up email four days later. From time to time we may also send marketing emails, such as property risk updates or news about our services. We keep them infrequent, and every one includes an unsubscribe link.

To follow up on your assessment or consultation request.

When you request a Property Risk Pulse report, we use your role, the size and type of your property, your Risk Pulse score, and whether you used a work email address to decide how quickly to follow up personally. Higher-risk results get a call within one business day.

To improve our service.

Anonymized, aggregated data about how clients use our reports and dashboards helps us make them more useful. This data cannot be traced back to you or your property.

To comply with legal obligations.

If we are required by law to disclose information, we will do so only to the extent required and will notify you to the extent permitted by law.

What we do not do with your information.

We do not sell your information to anyone, ever.

We do not share your property address, inspection findings, condition reports, or any details about your property with contractors, insurers, property managers, or any third party with a financial interest in your property decisions. This is the core of our independence and we treat it as non-negotiable.

We do not use your information to send you advertising from third parties.

We do not flood your inbox. Marketing emails from us are occasional, and you can unsubscribe from them at any time with the link at the bottom of every one, without affecting emails about a service you have booked.

Who we share your information with.

We use a small number of third-party tools to operate our business. Each receives only the minimum information necessary to perform their specific function.

HubSpot, our customer relationship management and scheduling platform, holds our contact records. It receives the details you give us in our forms, your Property Risk Pulse answers and results, your checklist requests, your consultation bookings, a record of any package you buy (the package, amount, date, property address, and our payment processor's reference numbers, never your card details), how you found our site, and the page-view data from its cookies. HubSpot stores this data in the United States and handles it under its own privacy policy.

Microsoft Azure, our hosting provider, runs our website. When you submit a form, your details pass through a secure queue on Azure on their way to HubSpot, usually within seconds. If a submission cannot be delivered, it stays in that queue only until we resend or delete it.

Our payment processor receives your payment details to process transactions. We use a PCI-compliant processor and never see or store your full card number.

Our email platform receives your name and email address to deliver your checklist and follow-up sequence.

Google Analytics, our website analytics provider, receives data about site visits, including cookie identifiers and device information, to help us understand site performance. Google handles this data under its own privacy policy.

None of these providers are authorized to use your information for any purpose beyond the specific function we hired them for. We select providers who maintain strong data security practices and comply with applicable privacy laws.

How we protect your information.

We store client data using industry-standard security practices including encrypted storage and access controls limited to authorized personnel only. We do not retain physical copies of client property information beyond the engagement period unless you request ongoing services that require it.

No digital system is completely immune to breach. If we ever experience a security incident that affects your information, we will notify you promptly and tell you exactly what happened and what we are doing about it.

How long we keep your information.

We retain your information for as long as you are an active client and for three years after your last engagement with us. After that period we delete or anonymize it unless we are required by law to retain it longer.

If you purchased a package that includes ongoing monitoring or annual services, we retain your information for the duration of the active engagement plus three years.

If you contacted us, took the Property Risk Pulse assessment, or requested our checklist but did not become a client, we keep your record for three years from your last interaction with us, then delete it.

These periods apply to the records we keep in HubSpot as well as to our own systems.

Your rights.

You have the right to know what information we hold about you. Email privacy@highgroundIQ.com and we will send you a complete summary within ten business days.

You have the right to correct inaccurate information. If anything we have on file about you or your property is wrong, tell us and we will fix it immediately.

You have the right to delete your information. If you want us to delete your data, email us at privacy@highgroundIQ.com. We will confirm deletion within ten business days. Note that if you have an active service engagement we may need to retain minimum information to fulfill that engagement.

You have the right to opt out of marketing emails at any time using the unsubscribe link at the bottom of every one. Emails about a service you have booked, such as confirmations and report delivery, continue until the engagement ends.

Florida residents.

Florida's Information Protection Act requires businesses to implement reasonable safeguards for personal information and to notify affected individuals promptly following a data breach. We comply with these requirements. If you have questions about your rights as a Florida resident, contact us at privacy@highgroundIQ.com.

Changes to this policy.

If we make material changes to this policy we will update the effective date at the top and notify active clients by email. Continued use of our services after a policy update constitutes acceptance of the updated policy.
